How It Works

For Your Clients

Your website visitor selects one of your services and then one of your staff members who can provide this service. Then the client proceeds to the availability calendar to choose a convenient date and time for the appointment. The calendar and working hours graphic view is very intuitive and easy to use for everyone.

Having chosen a free time slot the client fills in the appointment request form that is fully configurable. You can add any number of additional fields to collect information specific to your business.

After the appointment request is received the client and the staff member instantly receive email notifications. The client can also opt to be reminded prior to the appointment.

The system allows to accept "queued" appointments. When a client is uncertain about the exact time, she has an option to book a queued appointment, then a staff member will choose an appropriate date and time.

The system features Paypal integration. You can instantly accept payments for your appointments.

hitAppoint is internationally-ready. All the language specific details are defined in one language file. It is a matter of 15 minutes to translate the program interface into your native language. If you have clients of different nations, you can create several language options. Your clients will be able to switch to the language they prefer.

For Staff Members

The staff members have individual appointment management control panels that allow them to accept or to reject new appointment requests, review current appointments, manage their working hours and holidays.

The staff availability schedule management is very flexible. Working hours can be set individually per staff for every day of the week, you can create special schedules for certain dates. You can limit the total number or total duration of appointments per day for a staff member.

For Business Owner

The business owner can manage all the aspects of the online appointment system - create and update service details, define when your office is closed and when your staff members are on vacation, manage working hours for every day of the week, administrate the clients and staff accounts.

Our appointment scheduling application is very flexible and allows you to assign a staff member to a certain set of services, define how many clients can be accepted at a time for a service (multiple seats feature), apply request confirmation policy per service (if a staff confirmation is required or not). You can set the minumum and the maximum periods for apointment scheduling in advance, define the appointment cancellation deadline.

Appointment notification and reminder emails are template-based and easily editable online. The date and time formats are configurable to meet your local preferences.
