Setting Up Packages

Simply browse to Company > Services > Packages menu in your hitAppoint admin panel.

As you don’t have any packages yet, please click the Package: Add button.

A new package form will appear, in this form you will need to enter the details of your new service package.

Title

A descriptive title for your package, for example Massage Pack or Yoga Introduction Course.

Services

Here you can define which services are included in your package. There are two configuration options for this part:

1. Any From List

   If you choose this option, the package will allow appointments for either all your services, or from the checked ones. For example, five Advanced Lessons.

   

   For this Any From List option there is an additional setting named Package Type which defines the value of this package.

   • Number of appointments – how many appointments can be booked within this package, for example 5.

     

   • Duration – the total duration of all the appointments within this package, for example 5 hours of Swedish Massage.

     

   • Amount – the money value of all the appointments within this package, for example $300 value of Swedish Massage appointments.

     

   • Unlimited – there’s no limit on how many appointments can be booked within this package (as long as it is valid, we will define the package expiration settings below).
2. Fixed

   With this option you can define exactly how many and which services are included in the package, for example one Introduction Lesson appointment then three Basic Lessons.

   

Selling Price

Here you set up the price of this package for your customers. Such kinds of flat fee packages always have a better marketing appeal over services by the hour, they will also bring you more profit because more of your services are sold. For example, you can make a package of five Basic Lesson (each $60) and sell it for $250.

Alternatively you can tick the Not For Sale option and this package will not be available for sale for your customers. You will still be able to manually assign the package to selected customers.

Bookable Resource (Provider)

Here you can optionally assign the package to a bookable resource (provider), i.e. the appointments of this package can be booked with the selected provider only.

Expires in

This setting allows you to define if the package is valid during a limited period of time. This period starts from the moment the customer has bought the package. For example, a package of 10 massage appointments within two months.

Dates (Optional)

You can either define a date range or a list of fixed dates when your package is allowed.

Weekdays (Optional)

You may want your package be active for appointments on Mondays only for example.

Time (Optional)

You can also configure your package be allowed for appointments during certain time of day only.

Customer View

After a customer has purchased a package, or after it has been manually assigned to that customer, the package will appear in the customer control panel. Also there will be a Schedule Now link next to the package. If the package has any conditions like available services, valid dates or time, then the availability display will be adjusted accordingly. For example, if a package is for Yoga Class on Fridays before 2:00PM, then the system will allow to book only those appointments that meet these requirements.

Adjusting Packages

After a package was purchased by a customer, or was manually assigned to a customer, you can adjust any setting of this package individually for this customer, these changes will not affect other customers or base package settings.

Setting Up Promotions

Simply browse to Company > Services > Promotions and Coupons menu in your hitAppoint admin panel.

As you don’t have any promotions yet, please click the Promotion: Add button.

A new promotion form will appear, in this form you will need to enter the details of your new promotion.

Title

A descriptive title for your promotion, for example Friday Evening Offer or Swedish Massage December Discount.

Price

Here you define how the service price will change when this promotion is in effect. You can either decrease or increase the price in percent or USD amount (or in your local currency if you configured so).

Coupon Codes

Then you can define if you need customers enter coupon codes to apply this promotion. If no coupon codes are defined, then this promotion will be available for everyone. Otherwise a customer will be required to enter a coupon code.

Promotion Conditions

Now you can define when your promotion can take effect, this part is very flexible and you can fine-tune your promotions to meet any of your requirements.

1. Create a new subdirectory in extensions/languages, for example en2.
2. Copy the interface.xml from the core5/defaults/language directory into this new extensions/languages/en2 directory.
3. Edit this file to redefine your custom text. Make sure that the <original> part remains intact, your custom text goes between the <translate> tags. You can leave just the strings that you need to change. Please see the code below for a valid example.
4. Activate this language from the Settings > Languages in hitAppoint admin, it will say that some strings missing, but don’t bother, just activate it.
